For security reasons and to protect the transmission of confidential content, such as purchase orders or inquiries you submit to us as the website operator, this website uses either an SSL or a TLS encryption program. If the SSL or TLS encryption is activated, data you transmit to us cannot be read by third parties.

4. Recording of data on this website

Cookies

Our websites and pages use what the industry refers to as “cookies.” Cookies are small data packages that do not cause any damage to your device. They are either stored temporarily for the duration of a session (session cookies) or they are permanently archived on your device (permanent cookies). Session cookies are automatically deleted once you terminate your visit. Permanent cookies remain archived on your device until you actively delete them, or they are automatically eradicated by your web browser.

Cookies can be issued by us (first-party cookies) or by third-party companies (so-called third-party cookies). Third-party cookies enable the integration of certain services of third-party companies into websites (e.g., cookies for handling payment services).

Cookies have a variety of functions. Many cookies are technically essential since certain website functions would not work in the absence of these cookies (e.g., the shopping cart function or the display of videos). Other cookies may be used to analyze user behavior or for promotional purposes.

Cookies, which are required for the performance of electronic communication transactions, for the provision of certain functions you want to use (e.g., for the shopping cart function) or those that are necessary for the optimization (required cookies) of the website (e.g., cookies that provide measurable insights into the web audience), shall be stored on the basis of Art. 6(1)(f) GDPR, unless a different legal basis is cited. The operator of the website has a legitimate interest in the storage of required cookies to ensure the technically error-free and optimized provision of the operator’s services. If your consent to the storage of the cookies and similar recognition technologies has been requested, the processing occurs exclusively on the basis of the consent obtained (Art. 6(1)(a) GDPR and § 25 (1) TDDDG); this consent may be revoked at any time.

You have the option to set up your browser in such a manner that you will be notified any time cookies are placed and to permit the acceptance of cookies only in specific cases. You may also exclude the acceptance of cookies in certain cases or in general or activate the delete-function for the automatic eradication of cookies when the browser closes. If cookies are deactivated, the functions of this website may be limited.

If other cookies and services are used on this website, you can find this information in this privacy policy.

Contact form

If you send us questions through the contact form, the information you enter in the form, including the contact details you provide there, will be stored by us to handle your question and in case of follow-up questions. We do not pass these data on without your consent.

These data are processed on the basis of Art. 6(1)(b) GDPR if your request is related to the fulfillment of a contract or is required for the performance of pre-contractual measures. In all other cases, the processing is based on our legitimate interest in the effective handling of inquiries submitted to us (Art. 6(1)(f) GDPR) or on your consent (Art. 6(1)(a) GDPR) if it has been obtained; the consent can be revoked at any time.

The data you enter in the contact form remain with us until you ask us to delete them, revoke your consent to their storage or the purpose for storing them no longer applies (e.g., after your request has been handled). Mandatory statutory provisions, in particular retention periods, remain unaffected.

Request by e-mail, telephone, or fax

If you contact us by e-mail, telephone or fax, your request, including all resulting personal data (name, request) will be stored and processed by us for the purpose of processing your request. We do not pass these data on without your consent.

These data are processed on the basis of Art. 6(1)(b) GDPR if your inquiry is related to the fulfillment of a contract or is required for the performance of pre-contractual measures. In all other cases, the data are processed on the basis of our legitimate interest in the effective handling of inquiries submitted to us (Art. 6(1)(f) GDPR) or on the basis of your consent (Art. 6(1)(a) GDPR) if it has been obtained; the consent can be revoked at any time.

The data sent by you to us via contact requests remain with us until you request us to delete, revoke your consent to the storage or the purpose for the data storage lapses (e.g. after completion of your request). Mandatory statutory provisions - in particular statutory retention periods - remain unaffected.

5. Data processing when you use Allzeit

Organiser accounts

To create polls, you set up an account. We store your name, your e-mail address, your language and your password, which we keep only as a hash and never in plain text. If you set up two-factor authentication, we store its key and recovery codes encrypted. Before you can organise, you confirm your e-mail address through a link we send you.

The processing is based on Art. 6(1)(b) GDPR, to fulfil the contract of use under our terms of use. Your account stays stored until you delete it on your account page. This also deletes all your polls with their responses and comments.

Cookies and local storage

Allzeit only sets cookies that are technically required to run it:

Your browser keeps your choice between the light and dark design in its local storage; it is not sent to us. We do not use any analytics, tracking or advertising services. The legal basis for these cookies is § 25 (2) no. 2 TDDDG in conjunction with Art. 6(1)(b) and (f) GDPR; no consent is required for them.

Polls and responses

When you create a poll, we store its title, location, description, the suggested dates and your settings. People who respond give a name and, if the poll requires it or they wish, an e-mail address. We also store their answers (yes, if need be, no), comments, language and the identifier from the poodle_guest cookie.

Anyone with the link to a poll sees the names, answers and comments of the participants, unless the organisers have hidden participants or the running totals. Only the organisers see e-mail addresses. They can download the responses, including e-mail addresses, as a CSV file and are themselves responsible for how they use that file.

For organisers, the processing is based on Art. 6(1)(b) GDPR; for participants, on Art. 6(1)(f) GDPR, our legitimate interest and that of the organisers being to find a date that works for everyone. Participants can change or delete their response at any time in the same browser; organisers can delete responses, comments and whole polls. We automatically delete polls whose dates all lie more than a year in the past and that haven’t been edited for a year, with all their responses and comments.

E-mails

We only send e-mails that are part of using Allzeit: to confirm your address and reset your password; to organisers, notices of new responses and comments (which can be turned off in the poll) and a reminder to set a date; to participants who left an e-mail address, the date that has been set, with a calendar file. Participants with an account are also told when the date overlaps with dates they accepted in other polls.

We send them through Lettermint B.V., Willemsvaart 16 B, 8019 AB Zwolle, the Netherlands. Lettermint processes the recipient address, subject and content of the e-mails on our behalf; we have a data processing agreement with Lettermint under Art. 28 GDPR. More information: https://lettermint.co/privacy-policy. On our server, e-mails pass through a queue whose entries we delete after one hour, or after seven days if sending failed. The legal basis is Art. 6(1)(b) GDPR, for participants Art. 6(1)(f) GDPR.

Calendar

Once a date is set, you can download it as a calendar file or add it to Google Calendar or Outlook through a link. If you choose one of these links, your browser opens Google’s or Microsoft’s site and passes on the title, time, location and description of the event. Their privacy policies apply to any further processing.

Signing in with Microsoft

When we offer sign-in with Microsoft, you can sign in with your Microsoft account. The provider is Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland. Your browser takes you to Microsoft for this; after you sign in, Microsoft sends us your name, your e-mail address and an identifier of your Microsoft account, which we use to match your account. We never receive your Microsoft password.

Microsoft may also process data in the USA. Microsoft Corporation is certified under the EU-U.S. Data Privacy Framework, for which the European Commission has adopted an adequacy decision. The processing is based on Art. 6(1)(b) GDPR. You can remove the link on your account page at any time.

AI assistants

You can connect an AI assistant such as Claude or ChatGPT to your account. Only after you approve it does the assistant receive an access token with which it can, in your name, list, read and create your polls and set a date. It receives the content of your polls, including the names, answers and comments of participants, but not their e-mail addresses.

For this, we store the app’s name and return address and the tokens. Access tokens are valid for one day, refresh tokens for 90 days; we delete expired tokens one week after they expire. You can disconnect the assistant on your account page at any time. The data is passed to the assistant’s provider at your request on the basis of Art. 6(1)(b) GDPR; the provider is itself responsible for any further processing, under its own privacy policy. Please only connect an assistant if passing on the data of your polls’ participants in this way is acceptable for them.

Error logs

To detect and fix errors, we log technical errors. We send error reports with the error message, the address requested, the time and technical details about the browser and server to an error tracking service we run ourselves. We do not include account identifiers, cookies or IP addresses; a report may, however, contain data from the request that failed. We also log failed requests and tasks in our database and delete these entries after 24 hours. The legal basis is our legitimate interest in running Allzeit securely and without errors (Art. 6(1)(f) GDPR).

Organisations with an Enterprise contract

For organisations with an Enterprise contract, we process the data of their accounts and polls on their behalf under Art. 28 GDPR. The organisation is then the controller; please address questions about these data to it first.
